Overview

The Field Service Administrator (FSAD) performs all required administration tasks around field service and will ensure:

  • Execution of all administrative tasks is completed efficiently and on time, before and after service visits, to ensure timely and accurate invoicing to customers by Finance/Customer Ops
  • Supporting engineers' needs for the execution of work, like a hotel, visa and travel arrangements are taken care of and required tools and clothing, PPE are available for perfect job execution
  • Process outcomes of service visits and ensure they are executed by relevant functions in the organization, following up with Service managers and other team members as needed 
  • All information required to meet company deadlines is available in a timely manner, e.g. service reports, timesheets and expenses
  • All work executed is in line with global processes and standards

 

Responsibilities

  • Follow up on the administrative tasks resulting from field service, inside and outside of MS Dynamics tasks
  • Follow up with engineers on service reports to ensure they are completed, processed, and stored according to global procedures.
  • Register and follow up on warranty, quality, and non-conformity claims in line with global procedures. procedure.
  • Manage supplier quotations and create purchase requisitions in SAP as relevant to Field needs, therefore assisting Supply Chain 
  • Ensure timesheets and overtime claims are processed in a timely manner to meet payroll cut-off.
  • Report and follow up VSP KPI performance
  • Assist FSMs in tracking working hours and overtime to ensure compliance with local regulations and Veeco policy.
  • Consolidate monthly on-call List from all FSMs.
  • Update information and databases as required, e.g. health/safety/environment, installed base, knowledge base, training schedules and skills matrix.
  • Support HR and Operations in organizing general training for new hires.
  • Support EHS in organizing safety training tailored to customer requirements and aligned with local compliance standards for the field team.
  • Support engineers with billable FMR, RMA, parts orders, inventory checks, and internal PR/PO requests to ensure risk reduction related to company assets 
  • Assist engineers with TSMC supply online 360 tasks such as IAM/badge reservation and meeting registration.
  • Provide overseas travel assistance including accommodation, car rental, and logistics.
  • Assist overseas visitors and contractors with logistics, including visas, customer badges, and other requirements.
  • Perform other duties as assigned to support business needs.

 

Qualifications

BS degree in Business Administration or related field and a minimum of 2 years of office administration experience.  An equivalent combination of training and experience may be considered.
